    Evolve Systems is a Digital Marketing Agency and our sister company, Evolve Payment, is an independent ISO that specializes in B2B merchant card processing.  The two business verticals mesh when we work on ecommerce and payment programs.
     
    The Office Manager is considered the “glue” that manages the daily activities that keep our team and office operating smoothly. This position is the most effective in the office environment, however, occasionally working from home is an option.  Working closely alongside the CEO, this position is responsible for maintaining the office space, fostering strong client relationships, all accounting aspects, and customer service for merchant processing partners and clients.
     
    The typical breakdown in daily activities is:  50% Agency, 20% Payments, 20% Accounting, 10% HR

    Responsibilities:
    • Answer phones, greet clients, and manage the office space
    • Maintain office efficiency by planning and implementing office systems to ensure a culturally attractive work environment
    • Assist with merchant processing applications, system set-ups, and customer service for current and future merchant processing clients
    • Manage Vendor Relations, pricing, ordering, relationship management, and documentation
    • Maintain office process documents including SOPs and contracts
    • A/P and A/R responsibilities including invoicing, month-end reconciliation, monthly financial reporting, payroll, year-end duties, management of multiple bank accounts, and collaboration with CPA.
    • Work closely with other departments to ensure the efficient flow of processes.
     
    Requirements:
    • BA/BS or 4+ years of equivalent working experience
    • Proficient in QuickBooks Online for AR/AP
    • Payroll processing and minor HR duties
    • Expert with Google Suite and Microsoft Suite products
    • Superior organizational skills, attention to detail, and follow-through
    • Outstanding verbal, written, and interpersonal skills
    • Excellent problem-solving, time management, and leadership skills
    • Technically capable and have the desire to improve processes
    • Driven to find solutions rather than just identifying problems
    • Align with our core values and be a great culture match
    • Agency and/or Merchant Processing experience a plus
